What is eChipmunk?

It is an on-line student management system, a software system for managing your student, guardian and attendance data.

Why do I need eChipmunk?

Do you find yourself re-typing student details every year? Do you find that your spreadsheets of student names and contact details are never very tidy? Do you want a more modern, efficient and accurate system for maintaining your student lists? If you have answered yes to any of these questions then you already know why you need our eChipmunk student management system.

What automatic procedures are available through eChipmunk?

  5. Send bulk text messages
  6. Move groups of students between classes

Can I record attendance of the students?

Yes. The powerful attendance module comes standard with eChipmunk and allows you to record all absences for students. It can be managed by the teachers or centrally through the office. All relevant government required statistics can then be extracted from eChipmunk.

Can I send texts messages or email messages to parents of the children through eChipmunk?

Yes. You can send bulk texts or emails directly from the system. In the case of Text messages you will need to purchase Text Credits which can be done directly in the system. Unlike other texting systems, the texts you send through eChipmunk can be personalised and are not limited in size should you choose to use non-standard characters (e.g. the Euro symbol) in the text.

Can you add newly enrolled pupils to eChipmunk at any stage?

Yes. Pupils can be added or removed at any stage throughout the year.

How many pupils can be added?

We designed eChipmunk to suit any size school so you don’t end up paying for unused capacity.

Do I have to have a Website in order to use eChipmunk?

No. eChipmunk is purchased as a ‘stand alone’ product and does not need to be linked to a website. If you want to include a link to eChipmunk from your own website this is easily achieved.

Do I have to have a server in order to use eChipmunk?

No. eChipmunk is a cloud-based system and does not require any special hardware or infrastructure in the school. As long as you have access to the internet and your credentials you can use eChipmunk

Can I record data against a student in eChipmunk?

Yes.  Other than the huge amount of standard data fields that are available for storing information, you can record unlimited 'rich' information against a child in the form of notes.  These can be used for any number of things but typically schools use them for accident/incident records; behavioural notes; referrals; etc.

Is it easy to update eChipmunk?

Yes. New details can be easily entered at any time E.g. - If a family of 3 attending the school change address or telephone number you only need to enter the updated details once and it will automatically change for each family member.

Who is responsible for inputting the initial list of names and details?

The school is.  However, we can import the initial data for you. It needs to be provided to us in a specific Import Template which is an Excel spreadsheet. Anyone with the login details can enter student details thereafter.

Are there any restrictions to how many times I can update information in eChipmunk daily / weekly / monthly?

No. You can use the system as frequently as you like.

How does eChipmunk deal with several members of the one family in a school?

eChipmunk has the ability to track family members. This helps to avoid duplication of address labels,etc

Is eChipmunk password protected and secure?

Yes. In fact there are three items to the credentials for loggin into the system.  Firstly each school is given a specific, unique PIN number that forms the basis of the web address for their eChipmunk.  Secondly each school is issued with and administrative user name and password. Once the school is logged in they can create as many users as they require from within the system.

eChipmunk uses the latest in encryption technology to safely store your important information.  In addition eChipmunk uses SSL security to ensure that all data sent to and received from the servers is encrypted before leaving your system - thus making it impossible to intercept information while it is being sent.

What happens if I lose my login details for my eChipmunk system?

Just call our office and we will issue you with a new user name and password straight away.

Does eChipmunk have a system for printing information?

eChipmunk comes with a powerful Lists and Report Generator that can be used to produce and save as many list and reports as the school needs.

I don’t want to use the List and Report Generator - can I request pre-formatted lists at any stage?

Yes. Pre-formatted lists can be requested at any time. Contact our Head Office for details. An extra charge may apply.

What can I use the lists and reports for?

List and Reports provide you with the printouts you need for the daily running of your school – class lists; school trip phone lists; address labels; sibling lists; etc.

Can I use eChipmunk to log tests results throughout the year on a term by term basis?

Yes. We can provide you with a plug-in for recording tests and other results.

Can I get support?

Yes. eChipmunk comes with a full user manual and online video tutorials. Extra training is available but will incur an extra charge. In the unlikely event of you experiencing unexpected problems with eChipmunk, just contact our head office.

Is there an annual ongoing cost for eChipmunk?

There is an annual fee but it depends on the number of pupils in the school and the size of the eChipmunk system purchased.

How can I be sure that the personal details in eChipmunk are safe?

All of our eChipmunk systems are hosted on highly secure servers which are backed up at 3am each morning and have the highest security measures in place. Unlike systems that utilise a public cloud (as provided by the large multinational global providers), your data is physically stored in the Republic of Ireland.  We host a 'private' cloud that ensures that your critical student data is always physically located within the Republic of Ireland and is subject to Irish data protection laws.

Can I move the class lists on to the next class at the end of the school year?

Yes. This can be easily done at the click of a button without having to re-type a full class list at the start of each year.
